Create and manage users

Add new learners and set their permissions in Access Bookboon.

If you need to set up new learners in Access Bookboon, you can either do this individually or in bulk. To do this, follow the steps in the relevant section below.

πŸ“Œ Note: You need to do this in Access Evo, instead of directly in Access Bookboon.

Create a new user individually

First, you need to add the user to Access Evo. Once you've done this, you need to assign the Access Bookboon product to their profile.

Add the new user

  1. In Access Evo, click the Members icon.

  2. Click Add then select Add members individually.

  3. Enter the relevant details then, if required, add a personalised message.

  4. Click Add.

Assign the Access Bookboon role

  1. Click View Members then click the Select All icon.

  2. Nex to the Assign box, click Add then click Assign Product Role.

  3. Click the filter icon then clear the Include Active check box.

  4. Click Select All then, inside the Actions box, click Add.

  5. Click Assign Role then, from the drop-down menu, select Bookboon.

  6. From the drop-down menu, select User then click Assign.


Create new users in bulk

To add multiple users at once, you can import them using a .xlsx or .csv file. To do this, you need to download the template, complete the details, then upload it.

Before you can do this, there are some important details to note:

  • You must have at least one organisation admin.

  • When changing the Organisation Role for users, ensure you do not reduce or revoke your own role.

  • To clear a value in the template, enter NULL in the relevant cell.

  • If you use SSO and don't use email invites, you should communicate to learners about how to log in.

  • Ensure the email address [email protected] is whitelisted for users to receive welcome emails.

  • Valid statuses for the organisation role in the template are:

    • Pending

    • Active

    • Deactivated

    • Deleted

  • When adding information to a field in the template, do not use the comma symbol, as it is used as a data separator.

Download the template

  1. In Access Evo, click the Members icon.

  2. Next to the Invite option, click the wheel icon.

  3. Click Import Members then click Download Template.

  4. Complete the template in Microsoft Excel then save it in .xlsx or .csv format.

Upload the template

To upload the completed template into Access Evo, follow the steps below.

  1. In Access Evo, click the Members icon.

  2. Next to the Invite option, click the wheel icon.

  3. Click Import Members then click Select a File.

  4. Select your completed template.

  5. Choose whether to send an email invite then click Import.


Update existing members in bulk

If you need to make a change to multiple users at once, you can also do via an import.

  1. In Access Evo, click the Members icon.

  2. Next to the Invite option, click the wheel icon.

  3. Click Export Members then click Export.

  4. Open the exported file then make the necessary changes.

  5. Follow the steps in the Upload the template section above.
