Understanding your new login experience with Access Bookboon Evo

Heritage setup (SSO with auto-provisioning)

Currently, when someone in your organisation attempts to access Access Bookboon for the first time, their account is automatically created using their work credentials.

Your users don’t have to do anything else, they just log in to their computer, and Access Bookboon is ready to go.


Updated setup (manual provisioning with federated authentication)

On the updated platform, Access Bookboon Evo, we're changing how user accounts are provisioned.

The below list details what this means for your and your users.

  • Your Access Bookboon administrator will create user accounts in Access Bookboon’s member management area.

  • Once an account exists, learners log in with their regular work credentials, the same username and password they already use for email or other company systems.

  • Access Bookboon checks login attempts with your company’s authentication system to ensure the user is allowed access.

Follow the relevant guidance to set up federated access.


Making the change for stronger security

There's an extra step for account setup, but this manual provisioning approach keeps your organisation more secure, while providing a familiar, straightforward login experience for your learners.

This approach gives your organisation more control over admission to Access Bookboon and lets you enforce security policies.

With federated access set up, you can do the following to help prevent unauthorised access and ensures compliance with your organisation’s security policies.

  • Approve or remove access immediately when someone joins, leaves, or changes roles.

  • Define how long a user stays logged in before re-authentication is required.

  • Enforce multi-factor authentication or other company-wide login rules for improved security.

Before update (SSO with auto-provisioning)

After update (manual provisioning with federated authentication)

Users are automatically logged in to Access Bookboon via their work computer when logged on.

Administrators create accounts for users. Users log in using their existing work credentials.

Users don't have a unique, separate password for Access Bookboon.

Users will be prompted to login when trying to enter Access Bookboon.

They still don’t need a separate Access Bookboon password, but they'll see your authentication provider’s login steps, just like they do when accessing other company systems or apps that require their work credentials.

Accurate data within your analytics tool.

You'll still get the same, more accurate data from your analytics.
